Step 1:
Contact the Reservations Office in the University Center either in person at room #250 or via telephone (262-472-1175), you may also visit uc.uww.edu/rooms to request a reservation on-line. You will be asked to provide the following information: Name of group, date of event, time, approximate number of guests and type of event. The staff will help you determine the best possible room location for your event. A room must be reserved before initiating a catering request for an on-campus function.

Step 2: Plan the specifics of your event by accessing the catering website at www.flyingchef.com. You may contact the Catering Department to assist you (262-472-5093). You may also visit the Catering Office at the University Dining 242 in the University Center

Guidelines
Orders for refreshment breaks should be placed a minimum of 3 business days prior to the event. Requests for meals and receptions should be placed a minimum of 10 business days prior to the event, and the event should be finalized no less than 7 business days in advance of the event. Events scheduled with less than 3 business days in advance may be assessed an additional fee. Two hours of service are normally provided for catered meals from start to finish. If additional service is needed there will be a $15.00 per hour per worker service charge.

Guaranteed Guest Counts
The Catering Department must have a confirmed number of guests specified 3 business days prior to the event. This number is considered the guaranteed guest count. If the actual number of guests exceeds the guaranteed guest count, every effort will be made to accommodate the additional guests. A substitute menu may be required in such an instance. If the actual guest count exceeds the guaranteed count, the bill will reflect the number served.

Cancellation
If notice of cancellation is received 2 business days in advance of the event, you will only be charged any expenses incurred. If notice is received less than 2 business days in advance of the event you will be charged the full amount.

Minimum Orders
Group events requesting served meals outside of the University Center must have a minimum number of 15 guests. For fewer than 15 served meals the University Center must be used. For buffet service a minimum of 25 guests is required.

China, Silverware and Glass Service for Events Outside of the University Center
A $17.50 service fee will be charge for all china service provided outside of the University Center.

Water Setup
Pitchers of water or large dispensers are available for conferences, lectures and meetings on campus. The charge is $0.50 per person, with a minimum charge of $5.00.

Alcohol Beverage Service
The state, federal and local laws, as well as specific campus policy govern the service of alcoholic beverages. Please discuss your beverage request with the Facilities Coordinator in the Reservations office. All alcoholic beverages must be supplied and served by Catering by Chartwells. No alcoholic beverages are to be brought in.

Safe Food Handling
Safe food handling is a high priority for Catering by Chartwells. Therefore, we reserve the right to limit the removal of leftover food by the customer to items that are available for carry out. For your safety, and that of your guests, a Catering representative will remove food from your event in a timely manner.

Payment
Payment for University sponsored catered events is due within 30 days of billing date. All functions to be paid from University accounts must supply an organization code number at the time the order is placed. All organizations that are tax-exempt must present their certificate at the time the order is placed.

Payment for non-University sponsored functions is due immediately upon receipt of invoice. State and local sales tax will be added to invoices of individuals or groups not exempt from such tax.

Security
Neither Catering by Chartwells nor the University of Wisconsin-Whitewater is liable for any equipment, supplies or personal belongings left in public function areas.
